01

Acceptance of SaaS Terms

By registering an officer account, creating an organization workspace, uploading roster records, or accessing the Club Portal platform (collectively, “the SaaS Platform” or “Service”), you expressly agree to be bound by these Terms of Use and our Privacy Policy. If you do not agree to all terms stated herein, you must immediately terminate access and discontinue use of the Platform.

These terms constitute a legally binding agreement between the operating officers of registered clubs or organizations (“Customer” or “Workspace Administrator”) and Club Portal. If you are entering into these terms on behalf of a club, council, or organization, you warrant that you hold legitimate organizational authority to bind that entity.

Diagnostic Telemetry & Operational Analytics

By using the Platform, you acknowledge that we employ diagnostic telemetry and web analytics (including Cloudflare Web Analytics, Google Analytics, and Sentry error monitoring) solely to ensure uptime, verify gate scanner sync integrity, and safeguard transaction processing, subject to consent preferences outlined in our Privacy Policy.

02

Platform Scope & 5-Tier Role Security (RBAC)

Club Portal provides digital governance infrastructure for student clubs and independent organizations. Workspace capabilities and data access are strictly segregated by 5 system role tiers:

AdministratorOrg President

Highest operational clearance within workspace boundary.

Full workspace administration, officer invitations, role assignments, semester subscription upgrades, and organization data purge capabilities.
AdviserOrganization Moderator

Organizational compliance and fiduciary oversight.

Fee Registry deployment approval, officer roster verification, financial export authorization, and immutable audit log review.
ManagerOperations Officer

Day to day membership and financial operations.

Roster CSV ingestion, cash and GCash collection recording, dues fee exemptions, attendance roster audits, and event scheduling.
OperatorGate Scanner

Event gate admission and hardware check-ins.

Camera QR code scanning, manual member ID entry, Optics offline queue synchronization. Restricted from viewing balance sheets or ledger exports.
MemberGeneral Member

Active member belonging to the roster.

Read-only clearance verification via the public portal using dual-field authentication (Member ID + Full Name). Zero administrative access.
03

Account Creation & Password Security

All officer registrations require a valid email address, legal full name, and a password containing a minimum of 8 characters. Shared or generic accounts (such as one account used by an entire committee) are strictly prohibited to maintain clear audit trail accountability.

Credential Protection

Officers are solely accountable for preserving the confidentiality of their credentials and two-factor tokens. Club Portal personnel will never ask for your password.

Shared Hardware Sign-Out

When deploying gate scanner hardware across multiple volunteer shifts, officers must actively sign out or lock the browser session between rotation handoffs.

04

Subscription Upgrades & Refund Policy

Club Portal offers subscription plan tiers tailored to organization scale and active membership counts:

LITE Plan₱0 / semesterUp to 100 members, basic check-in, standard ledgers.
PRO Plan₱1,499 / semesterUp to 500 members, Optics offline scanner, PDF clearance cards.
ELITE Plan₱3,499 / semesterUnlimited roster size, multi-gate sync, priority SLA support.
Payment Verification & Non-Refundable Terms
  • •Manual Upgrade Verification: Upgrades are processed via manual remittance (Cash, GCash, or Bank Transfer). Officers must upload a legible payment receipt with reference number. Upgrades remain in PENDING status until verified by Platform Administration. Club Portal does not store credit card numbers.
  • •Strictly Non-Refundable: Once an upgrade is reviewed, confirmed, and provisioned to the active semester workspace, the subscription fee is strictly non-refundable. Prorated refunds, semester credits, or plan downgrades during an active semester are not provided.
  • •Duplicate Remittances: If an officer accidentally remits duplicate payments for the same semester upgrade, written notice must be submitted to [email protected] within 7 calendar days of the transaction timestamp for manual reversal.
05

Roster Ingestion & Financial Data Accuracy

Club Portal acts strictly as a data processor for records uploaded by organizations. Workspace officers retain absolute responsibility for verifying the legitimacy and precision of imported member rosters (CSV format), member ID numbers, deployed fee registries, and cash or GCash transaction ledgers.

Officers must ensure they possess proper authorization from their organization or governing body before importing member records into the platform, in compliance with Republic Act No. 10173 (Philippine Data Privacy Act).

06

Gate Scanner Hardware Custody & Offline Queuing

The Optics Scanner module allows offline gate check-ins when venue or local network connectivity is degraded. During offline operation, attendance check-in records are staged in the local browser IndexedDB storage of the physical device.

Physical Custody Requirement

Officers operating scanner stations must maintain continuous physical custody of their devices. Offline records remain stored locally on that specific hardware until a network connection is re-established and the queue is synchronized. Clearing browser cache or resetting device storage prior to sync will permanently destroy unsynchronized gate logs.

07

Public Clearance Portal Usage & Rate Limiting

The Public Clearance Portal enables individual members to check their fee dues, event attendance records, and clearance signature status without creating an officer login. To prevent unauthorized record profiling, the portal mandates strict dual-field verification:

Mandatory Matching: Valid Member Identification Number + Exact Registered Full Name

Any automated scraping, enumeration scripts, dictionary attacks, or automated name guessing are strictly prohibited. The platform enforces an automated 60-second IP rate-limiting lockout upon consecutive failed verification attempts. Repeated malicious probe attempts are logged and subject to IP-level blocking and technical mitigation.

08

Acceptable Use Policy & Vulnerability Reporting

Users of Club Portal agree to utilize the Platform solely for lawful, authorized club and organization activities. You explicitly agree not to:

  • •Attempt unauthorized access to other organization workspaces or cross-tenant data.
  • •Forge bank transaction reference numbers or upload falsified proof of payment receipts.
  • •Distribute malware, malicious payloads, or automated exploit bots through upload portals.
  • •Abuse officer permissions to artificially forge attendance or erase legitimate financial records.
Responsible Security Vulnerability Disclosure

If you are an independent researcher or developer who discovers a security flaw, permission bypass, or vulnerability within Club Portal, we request that you disclose it to us privately via email at [email protected] before publicizing it. We commit to prompt investigation and coordination without legal recourse against ethical security researchers acting in good faith.

09

Term, Purging & Limitation of Liability

Service Delivery:Club Portal is provided on an “AS IS” and “AS AVAILABLE” basis. While we endeavor to maintain continuous availability and data durability, Platform Administration cannot guarantee uninterrupted operational service during unscheduled infrastructure outages or upstream hosting provider maintenance.

Account & Data Purge: Authorized officers retain the permanent right to delete their personal officer profiles via Account Settings, or purge organization records pursuant to leadership handover requirements. Once initiated, data purge actions are irreversible and permanent.

Governing Law & Limitation of Liability: These Terms and platform operations are governed by applicable local laws and regulations. To the maximum extent permitted by applicable law, Club Portal and its developers shall not be liable for: (a) physical loss or theft of gate scanning devices; (b) malformed CSV roster datasets uploaded by club officers; or (c) accidental destruction of member records caused by authorized officers invoking workspace purge tools.
